How to Host a Clothing Swap: A Checklist for Friends or a Small Group
A clothing swap is a party or event where people trade clothes they've stopped wearing for ones they'll use, as Dublin City Council's guide describes it. It isn't a seasonal closet swap, where you rotate your own clothes between seasons.
To host one, pick a day and a place, tell guests how many pieces to bring and in what condition, settle how swapping works, and decide where leftovers go before anyone arrives.
The numbers below come from guides on local government sites in the US, Ireland and the UK, plus two websites, and each is named where it's used.
Hosting friends at home? Skip the lines marked bigger swap, and what's left is your list. Two of those marks come from the guides: Dublin's insurance advice is for large community events, and Tacoma's ticket advice is for larger public crowds. The rest of the sorting is ours.
The checklist
Before you invite anyone
- Pick a day, a place and a length. The Fingal Clothes Swap Guide suggests a weekend and 2 to 3 hours, and the City of Ann Arbor's 2026 guide about 3.
- Decide how many people to ask. For a living room, Shareable's guide suggests 8 to 15 guests, more if yours is bigger.
- Set the fewest and most pieces each guest can bring. By Dublin's guide, 5 to 10 usually does it.
- Spell out what "good condition" means. The Fingal guide's test is "Would I give this to a friend?" The Gloucestershire Recycles guide rules out stains, rips, shrinking, missing buttons and broken zippers, among others.
- Decide what's off the list. Dublin's guide asks guests to leave out swimwear, earrings and underwear, "for health reasons".
- Plan for leftovers: home with guests, a charity or secondhand shop, or a box for next time. If a charity is in the plan, ask ahead about donation days and what it takes, as Ann Arbor's guide advises.
- Start your own pile with a keep, fix and pass-on sort. If a piece needs a small repair, try a beginner's visible mend or leave it home.
- Bigger swap: Ask the venue about public liability insurance. Dublin's guide raises it for large community events.
Choose how swapping works
With a small group who know each other, rules "may or may not be needed," Tacoma Environmental Services' guide says. If you want some, pick one:
- Tokens: one per piece brought, good for one piece back, in the Fingal guide. Buttons make handy tokens, Dublin's guide points out.
- Open table, the Fingal guide's other option: people help themselves and nobody keeps count.
- Turns: everyone picks two items each time around, an idea from Shareable's guide.
- Bigger swap: A limit on what people take, as well as bring, plus one ticket per item brought, from Tacoma's advice for a larger public crowd.
The invite
- Send it with enough notice for guests to collect their pieces. Dublin's guide says to invite people 2 to 4 weeks ahead, and the table further down compares the other guides.
- Send at least one reminder a few days ahead, as Shareable's guide suggests.
- Cover the details. This wording is ours, built from the lists in Dublin's and Tacoma's guides:
Clothing swap at my place on [day], [start and end time], at [address]. Please reply by [date] so I know how many are coming. Bring [fewest to most] clean pieces of clothing you'd give a friend, plus a bag for your finds. Please skip [anything off the list]. Swapping works by [tokens, open table or turns]. Anything left goes [your plan].
On the day
- Set up a spot for the piles, plus a mirror and somewhere private to change. For a small swap at home, the layout can probably wait until just before or even mid-swap, says Dublin's guide.
- Bigger swap: Arrive at least an hour early to set up, as Ann Arbor's guide advises.
- Go over the rules when people get there, and point them to the piles.
- Hold the first pick until everyone's there.
When it's over
- Give everyone a last look at what's unclaimed, a "swapportunity" in the words of Tacoma's guide, and nudge them to take extras home.
- Take the rest where you planned.
Ezfit, coming soon to iPhone and Android, will find nearby charity shops and secondhand shops for clothes you no longer wear, from OpenStreetMap. It will also point out a few pieces you haven't worn in a while, each with a reason. That list could start your pile next time, though that's our idea, not a swap feature.
How far ahead to start: why the guides differ
By our reading, the guides' lead times mostly aren't measuring the same thing.
| Guide | Lead time, and what it's for |
|---|---|
| aSweatLife | Suggests at least 2 weeks of notice for guests |
| Dublin City Council | 2 to 4 weeks: when to send invites |
| Tacoma | 2 to 4 weeks: time for guests to collect items |
| City of Ann Arbor, 2026 | At least 3 weeks, ideally 6: when to begin planning |
| Gloucestershire Recycles | At least 8 weeks: when to begin planning and build a team |
Dublin's and Tacoma's weeks match, and both are about guests: one says when to send invites, the other how long guests get to collect items.
Ann Arbor's guide is for community swap days. Later steps in the Gloucestershire Recycles timeline include posters and, if needed, a press release. That guide doesn't limit its timeline to public events. Still, those steps look to us like more than a friends' swap needs.
For a swap with friends, we'd go by the first three rows, from aSweatLife, Dublin and Tacoma, and let your group's calendar settle the rest.
